ApprenticeshipNH Program Assistant (Department/Program Assistant II)
Hourly Rate Range - $18.98- $21.78
SCOPE OF WORK: Performs various clerical and program support duties including maintaining the filing system, assisting with event planning and coordinated outreach, and tracking and ordering program materials for the Apprenticeship Program. This position reports to the Apprenticeship Program Manager.
ACCOUNTABILITIES:
- Responds to telephone and email inquiries and refers individuals to the appropriate member of ApprenticeshipNH team.
- Provides interested business partners, potential applicants, and community-based organizations with information on the Registered Apprenticeship Program (eligibility, accessibility and benefits for both business and participants).
- Uses computers for various applications, such as database management and Microsoft Office software.
- Assists in the coordination and planning of various outreach events, sector-based convenings, and coordinates participation in job fairs, information sessions, etc.
- Assists with scheduling regular meetings with stakeholders and team members.
- Keeps track of the daily schedules and administrative support needs.
- Composes, types, distributes and maintains meeting notes.
- Assists with coordination and organization of ApprenticeshipNH events.
- Reviews work done by others to check for correct spelling and grammar, ensuring that company format policies are followed, and recommends revisions.
- Complies with all college, system, state and federal rules and regulations.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
Education: High school diploma, or equivalent credential. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: Four years' experience in secretarial or office support position.
Desired Qualifications: Experience in providing promotional and outreach support for career development and training programs. Knowledge of apprenticeship programs. Experience in event planning. Computer proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Access, and Outlook.
License/Certification: Valid driver's license, or access to transportation for statewide travel.
RECOMMENDED WORK TRAITS: Knowledge of office practices, procedures and equipment. Knowledge of English, spelling and arithmetic. Knowledge of office record keeping and reporting. Ability to gather, assemble, correlate and analyze facts and identify existing or potential problems. Ability to contribute to the development of sound operational procedures. Ability to exercise sound judgment in appraising situations and making routine decisions. Ability to follow specific instructions in gathering facts, data, or resources in organizing required information. Ability to present ideas clearly and effectively. Ability to establish and maintain effective working relationships with other employees and the general public. Ability to work independently and as a member of a team. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as determined by CCSNH.
