ACADEMIC AFFAIRS ASSISTANT
PART-TIME, $18.99-21.03/HOUR


SCOPE OF WORK: Performs a variety of office support tasks for the Academic Affairs Office. This position reports to the Registrar at White Mountains Community College.

ACCOUNTABILITIES:

  • Provides support for the Academic Affairs Office as assigned, which includes but is not limited to maintaining files, monitoring, and updating documents, and maintaining and distributing adjunct faculty contracts.
  • Serves as the point of contact for the office with all members of the college community and visitors who require assistance.
  • Interfaces with faculty, staff, students, and other office visitors, greeting, directing, and responding to their needs as appropriate.
  • Maintains the adjunct instructor and full-time faculty spreadsheet.
  • Maintains the Articulation Master spreadsheet.
  • Manages the Academic Affairs Office calendar and updates the Berlin Campus Scheduling calendar.
  • Assists with room reservations in conjunction with the Executive Assistant to the President on Facility use requests.
  • Composes and distributes meeting minutes, and maintains appropriate records and correspondence for Academic Affairs, and Department Chair/Program Coordinator meetings.
  • Assists the Coordinator of Educational Partnerships and Access with administrative tasks as needed.
  • Provides administrative support as needed to the Nursing Program Coordinator.
  • Assists with preparation of adjunct faculty payroll manifests.
  • Creates and Distributes WMCC Academic and Student Calendars.
  • Maintains and shares knowledge of WMCC and Academic Affairs policies and procedures.
  • Assists with Vice President’s, President’s, and Academic Standing letters.
  • Complies with all system, college, state and federal rules and regulations.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education: High School diploma, G.E.D. or its equivalent. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Four years of experience in a secretarial or office support position. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certification: None required.

Desired Qualifications: Working knowledge of word processing, database management, Excel, and Canvas preferred. Experience working in higher education preferred.

Skill in making accurate arithmetic computations. Ability to type a variety of materials with speed and accuracy. Ability to maintain confidential information. Ability to supervise others. Ability to maintain fiscal and agency records. Ability to communicate effectively. Ability to assign, check and review work of other clerical employees. Ability to prepare statistical and written reports. Ability to maintain confidential information. Ability to research records and prepare reports. Ability to work independently. Ability to establish and maintain effective working relationships with other employees and the public. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as determined by the college appointing authority.
