Executive Assistant to the President

General Summary: Reporting to the President, provides executive support with responsibility for managing the day-to-day operations of the President’s Office, facilitating complex and confidential matters, coordinating college-wide events and other events in support of the college mission, performing a wide variety of administrative support duties, and serving as the primary point of contact for internal and external constituencies.

Principal Duties and Responsibilities:

  • Serves as the initial contact for the President’s office by answering all calls/inquiries to the President; schedules and provides administrative support for all meetings with the President, including College Leadership Team, President’s Advisory Council, Campus Advisory Board among others.
  • Supports the President in a variety of administrative duties, including drafting and prepared correspondence for the President and the College Leadership Team for distribution to the college community, business leaders, CCSNH Board of Trustees, College Advisory Board, accreditation agencies, state officials, etc.
  • Manages the President’s calendar and coordinates travel arrangements, as needed;
  • Drafts and prepares correspondence or memos to include business leaders, accreditation agencies, state officials, etc., for approval by President, Vice Presidents and other staff and faculty, as needed;
  • Coordinates events for the college, including: fundraisers, meetings/events held by the President for business and community members, College Advisory Board meetings, Board of Trustee meetings (when held at the College); manages use of facilities by external constituents, and assists with events put together by the College Leadership Team when needed.
  • Handles confidential student and/or employee matters and maintains confidential files and/or records.
  • Manages the President’s correspondence ensuring prompt responses or follow-through on requests for decisions or action; Manages assigned projects to meet established timelines.
  • Utilizes appropriate software and resources to research and prepare reports and presentations assigned by the President and to disseminate the information in a timely manner.
  • Informs faculty and staff of administrative procedures, ensuring compliance with all state and department policies and procedures; responds to faculty, student and staff issues in the Office of the President and refers matters as appropriate.
  • Assists with projects and various other duties or tasks, as assigned.
  • Serves as a resource on college governance, operational, and/or ad hoc committees as needed.
  • Participates in community, legislative, and/or business/industry outreach, as assigned.
  • Oversees the President’s Office budget and monitors and processes expenditures in keeping with established policies and procedures.
  • Serves on various campus committees and teams.
  • Complies with all system, college, state and federal rules and regulations.
  • Performs related duties assigned.

QUALIFICATIONS:

Education: Associate’s degree from a recognized college or technical institute with a major study in office management/technology, business administration, accounting, or public administration, or a related field. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Four years of experience in a position of responsibility in office or business management activities. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certifications: Valid Driver’s License or access to statewide transportation.

Administrative support experience in higher education; Demonstrated experience in organizing and coordinating events; Experience in conducting research and ability to analyze and interpret data; Ability to understand, interpret, and apply policies and regulations; Ability to work evenings and weekends as may be required.

License/Certifications: Valid Driver’s License or access to transportation.
